The Setup:

The International Union for Conservation of Nature (IUCN) World Conservation Congress 2025 took place over five intensive days at the ADNEC Center in Abu Dhabi, gathering world leaders, environmental experts, and delegates to drive global conservation policy. To support 134 high-stakes, overlapping sessions across multiple halls, the congress required real-time interpretation in English, French, Spanish, and Arabic.

The sheer logistical volume demanded a massive, flawless coordination framework: 64 specialized remote interpreters working synchronously across vast time zone differences to cover heavy daily schedules.

The Approach:

To manage a project of this magnitude, our Project Manager built a centralized scheduling and team-allocation architecture during a three-month prep phase. We structured the 64 linguists into 14 distinct core teams (designated A through N) to optimize schedule coverage across overlapping time blocks.

Facing tight time-zone alignments—with Abu Dhabi hours requiring overnight shifts for Latin American Spanish linguists—our team executed a massive recruitment and re-onboarding effort. We reactivated specialized interpreter pools, re-verified high-standard technical compliance, and aligned rate frameworks to maintain budget efficiency for our partner.

During live execution, Interprenet implemented a multi-tiered communication protocol. We maintained daily schedule confirmations, real-time tracking spreadsheets, and a 24/7 escalation bridge between our Operations Management, our RSI technology partner Interprefy, and our Remote Technology Support teams.

Our project leads shared shift-monitoring responsibilities overnight to track interpreter sign-ins, audit token assignments, and resolve floor schedule adjustments instantaneously before sessions went live.

The Result:

Interprenet successfully delivered continuous, high-quality simultaneous interpretation across all 134 sessions over five days without a single interpreter absence or technical interruption.

By combining rigorous advance preparation with agile, real-time monitoring, we successfully navigated complex time zone logistics and multi-team handoffs. The project expanded our active pool of verified international linguists while proving Interprenet’s capacity to execute massive, multi-language global events with absolute reliability and precision.
